Reading custodian statements without forcing a false total

Custodian statements are authoritative for what the custodian believes it holds on a given date. They are not automatically authoritative for your internal cut-off. When a family office asks DataProcessr to reconcile a venue, the first question is which timestamp both sides agreed to honor.

False totals appear when teams subtract unmatched lines until the spreadsheet “balances.” That habit hides timing differences and mislabeled sub-accounts. A healthier reporting culture keeps the exception list intact and assigns each line a status: timing, classification, missing document, or unresolved.

Crypto Portfolio Desktop can host the working inventory, but the signed pack should still narrate exceptions in plain language. Committees tolerate imperfect totals when they trust the process; they distrust perfect totals that later unwind.

When a custodian changes statement layout mid-year — a common operational event — treat the first cycle after the change as a focused reconciliation engagement rather than folding the mess into a rushed quarterly briefing.
